Roles on the Orthodontic Team

Clinical Orthodontic Assistant

The clinical assistant works chairside with the orthodontist to deliver patient care. Day-to-day responsibilities include:

Preparing and maintaining orthodontic instruments, supplies, and equipment

Collecting and recording patient health histories

Taking photos, x-rays, scans, and impressions

Educating patients about oral health and overall health

Assisting with the placement/removal of orthodontic appliances

Instructing patients in appliance care

Treatment Coordinator

The treatment coordinator is often the first clinical point of contact for new patients. They bridge the gap between the clinical team and the business side of the practice. Responsibilities typically include:

Conducting new patient consultations and presenting treatment plans

Explaining fees, financing options, and insurance benefits

Managing records, photos, and pre-treatment documentation

Building relationships with patients and families throughout the treatment process

Coordinating with referring dentists and outside providers

Supporting patient retention and case acceptance

Orthodontic Front Office / Patient Coordinator

The front office team manages the day-to-day operations that keep the practice running smoothly. Responsibilities typically include:

Answering phones and managing patient scheduling

Greeting patients and checking them in for appointments

Processing payments and managing billing

Verifying insurance and submitting claims

Maintaining accurate patient records

Formal Training

Formal Training/Certification

Good to Know: You don't need to be certified to be an orthodontic assistant.

However, dental assistant certification can help you gain basic technical skills to jump start your journey. Dental assistants can go on to specialized training in the orthodontic field to achieve an orthodontic assistant permit from the Dental Board of California.

Many CAO members offer the training for this permit in their office.
